Provides executive-level administrative support to the President of Performance Polymers and Evonik Cyro LLC North America. This position will also provide administrative support to additional Performance Polymers management employees within the Parsippany location. The incumbent will interface with all levels and functions of the Company and will be expected to demonstrate professionalism at all times by performing the required duties of the position.
• Organize and prioritize mail / email and other inquiries. • Screen phone calls and transfer calls or take messages. • Maintain calendar. • Plan itineraries and arrange / coordinate travel. • Process expense reports. • Organize meetings and workshops (inhouse and off site) including booking conference rooms, ordering food, arranging all required equipment, setting up Telcos, WebEx and / or Video calls. • Prepare documents / letters / presentations / organization charts. • Prepare and distribute weekly itineraries. • Support in arrangements for the yearly Excellence Award. • Assist guests / colleagues from abroad in organizing their travel within the US: book hotels, rental cars, limos and flights. • Assist guests / colleagues (local and from abroad) in finalizing their meeting schedules with colleagues in the US (Headquarter and other locations). • Assist guests / colleagues from the US in organizing their domestic and international travel: book hotels, rental cars, limos and flights. • Prepare and distribute Service Anniversary letters. • Responsible for purchasing office supplies for department. • Prepare agreements for signature and distribute them when signed. • Filing (electronic and hard copy). • Update and distribute office contact lists. • Assist colleagues with IT requests.
Candidate Qualifications and Experience:
• Candidate must have High School Diploma. • Minimum 5 years experience. • Excellent organization, communication, typing, word processing and personal computer skills (Word, Excel, Powerpoint and similar commonly used systems are preferred). • Bi-lingual (English / German).
